Guide Billing & Account

How to update your billing details

Where to update the name, address and tax details that appear on your invoices, and why it is worth keeping current.

The name, address and other details attached to your account are what appear on every invoice you are sent. They are separate from your payment method — updating a card does not update your billing address, and updating your address does not touch your card — so if either has changed, it is worth checking both rather than assuming one covers the other.

Where billing details live

Your billing details are held in your client area, on your account or profile page, not in your control panel. StackCP has no concept of billing information at all — it manages your website, not your invoices — so this is another case where the two systems stay firmly separate.

Why this is worth keeping current

An out-of-date billing address is mostly a paperwork problem rather than a service problem — it will not stop your hosting working. But if you need invoices for accounting, tax, or expense purposes, an address or company name that is wrong or missing makes that harder than it needs to be, and it is far easier to fix before you need the invoice than after.

How to update your details

  1. Sign in to your client area

Use your account email and password, or reset them if needed.

  2. Find your account or profile details

This is usually under an account settings or profile section, separate from the payment methods section.

  3. Update whatever needs changing

Name, company name, address, phone number, contact email, and any tax reference field available on your account type can generally be edited here.

  4. Save the change

Confirm the update. Some fields may ask you to re-enter your password as a security check before saving.

  5. Check it on your next invoice

Future invoices will use the updated details. Past invoices already issued generally keep the details that were on file when they were raised.

If you need past invoices corrected

Updating your account details going forward does not retroactively change invoices already issued. If you need a previously issued invoice corrected — for a company name change or a tax reference, for example — contact support and explain what needs correcting and why; whether and how that can be done depends on your billing system and local accounting requirements, which is a question worth putting to a person rather than guessing at.

Company and tax details

If you are billing as a business, keeping your registered company name and any tax reference accurate matters more than it might for a personal account, since these are the details your own accounting will need to match. Update them as soon as they change — a new company name, a VAT or tax registration number newly obtained, or a change of registered address — rather than waiting until an invoice is needed for something specific.

Your billing email versus your account login email

Some accounts distinguish between the email you log in with and the email invoices or billing notices are sent to. If you have both, check that each is set to an address you actually monitor. Missing a renewal or payment-failure notice because it went to an address nobody reads is one of the more avoidable causes of an account running into trouble — see how to change your account email address if it is the login email itself that needs changing.

What to do if you have moved country

Changing the country on your billing address is worth taking a moment over, since it can affect the currency your account bills in going forward as well as any tax treatment that applies to your invoices. Update the address itself first, then check the currency shown on your account and on your next invoice to confirm it reflects where you now are. See what currency you will be charged in for how that is determined, and contact support if anything about the change looks inconsistent rather than assuming it will sort itself out.

When someone else manages billing for you

If an accountant, a business partner or an agency needs to see your invoices without having full access to the account, adding them as a separate contact is usually a better approach than sharing your own login. See how to add another contact to your account for setting that up properly, with its own access rather than a shared password.

Keeping records for yourself

Once your details are correct, it is worth downloading copies of your invoices periodically rather than relying on them staying accessible indefinitely in any one system. See how to download an invoice or receipt for the quickest way to do that.

None of this is complicated, but it is the kind of housekeeping that only matters on the one day you actually need it — a tax return, an expense claim, a company audit — so it is worth doing when you think of it rather than when you are asked for it.
